How can I view my Google Calendar in Outlook?

You cannot update your Google calendar directly in Outlook, however you can subscribe to your Google calendar so that you can see events from both calendars simultaneously.

An Internet Calendar (iCal) Subscription keeps your Outlook copy of your Google Calendar up-to-date.

  1. Log in to your Google Calendar account.
  2. In the left column, click My calendars to expand it, click the arrow button next to the calendar that you want to add to Outlook as an Internet Calendar Subscription, and then select Calendar settings.
  3. Under Private Address, click ICAL.
  4. Right-click the web address that appears, and then click Copy shortcut in the shortcut menu.

NOTE: Don’t click the link. If you do, the calendar will open in Outlook as a Calendar Snapshot and won’t be updated.

  1. In Outlook, click File> Account Settings > Account Settings.
  2. On the Internet Calendars tab, click New.
  3. Paste the address you copied in step 4, by pressing CTRL+V, and click Add.
  4. In the Folder Name box, type the name of the calendar as you want it to appear in Outlook, and then click OK.

When you start Outlook, it checks Google Calendar for updates and downloads any changes. If you keep Outlook open, it also periodically checks for and downloads updates. (Google Calendar tells Outlook how often to check for updates.)

NOTE: Changes you make in Outlook aren’t sent to your Google Calendar. To update your Google calendar, open Google Calendar from a browser.

 

How can I change my time zone?

Having your time zone set to something other than central time will create difficulty in scheduling meetings with faculty, staff, and students on campus. To ensure that your time zone is set to central time in Office 365, take the following steps:

  • Login to Office 365 using your WUSTL Key
  • Click on the Gear icon near the top-right and select Options
  • On the left-side options menu, click General and then Region and Time Zone
  • Under Current Time Zone, select Central Time US & Canada
  • Click Save

 

How do I share my calendar with others?

  • Login to Outlook Web Access (OWA) using your WUSTL Key at https://outlook.office.com/owa/?realm=wustl.edu
  • Click on the small blue Apps button at the top-left of the webpage, and select Calendar
  • On the right-side menu, under My Calendar, right-click on the Calendar button and select ShareCalendar
  • Enter in the email address of the person(s) you want to share with
  • Select the level of access you want the person(s) to have to your calendar
  • Click Send

 

Can I share my calendar with people outside of Office 365 or outside of the University?

Yes, you can share your calendar with colleagues whose e-mail accounts are outside of the Office 365 or outside of the University by following these instructions:

  • Login to Outlook Web Access (OWA) using your WUSTL Key at https://outlook.office.com/owa/?realm=wustl.edu
  • Click on the small blue Apps button at the top-left of the webpage, and select Calendar
  • On the right-side menu, under My Calendar, right-click on the Calendar button and select ShareCalendar
  • Enter in the full email address for the individual you want to share with:
    • For WUSTL colleagues who are not yet in Office 365, enter in their departmental email address, such as: colleague@artsci.wustl.edu
    • For external collaborators, enter in their external email address, such as: colleague@peeruniversity.edu
  • Select the level of access you want the person(s) to have to your calendar
  • Click Send

 

How do I stop sharing my calendar?

  • Login to Outlook Web Access (OWA) using your WUSTL Key at https://outlook.office.com/owa/?realm=wustl.edu
  • Click on the small blue Apps button at the top-left of the webpage, and select Calendar
  • On the right-side menu, under My Calendar, right-click on the Calendar button and select Permissions
  • Next to the individual(s) you want to stop sharing with, click the small x button next to their name(s)
  • Click Save
