Hybrid, on-site, some remote WashU Medicine employees have until Nov. 17 to comply with flu shot policy 

WashU Medicine employees who work on campus or in a hybrid role at any WashU Medicine location must comply with this year’s influenza policy and be vaccinated and provide proof of vaccination prior to 5 p.m. on Monday, Nov. 17. This list of employees includes faculty, staff, trainees, select employees on the Danforth Campus, the Epic1 team, and Medical Advancement. 

While the vaccine is not required for remote employees who will not visit campus now through the flu season, all employees are strongly encouraged to get vaccinated. This is to protect themselves and others from influenza. The flu season runs through March 31, 2026.  

There are several options to receive a flu shot: 

  • Make sure to consent to treatment and Epic utilization at least 24 hours prior to the appointment. 
  • This option does not require advance consent for treatment.

Those getting flu shots through WashU’s Occupational Health or the WashU peer vaccination program do not need to upload proof of vaccination. For those receiving vaccines from any other provider, such as through a retail pharmacy like CVS or Walgreens, or a provider who is not associated with WashU, documentation will need to be uploaded into Workday. This includes vaccinations received through a BJC Healthcare vaccine clinic. A step-by-step guide with instructions for how to upload documentation is available. 

To comply with the current flu policy, vaccinations must be received after August 1, 2025. Any earlier dates will not count as meeting the requirements for the 2025 flu season. 

Employees who do not submit vaccination documentation or have an approved exemption by 5 p.m. on Monday, Nov. 17 will be suspended beginning at noon on Tuesday, Nov. 18. 

Only those who request an exemption and are granted one for medical or religious reasons will be excluded from the requirement. Individuals planning to file for an exemption should review the policy and complete the process online. Exemptions must be filed and approved by 5 p.m. on Monday, Nov. 3.
